A BJC needs security to protect the convention goers, their property, the traders' stock outside trading hours, and the registration desk. A site will usually be fenced, except a small number of carefully positioned entrance/exit points, which are badge controlled.

Some aspects of security can be done by volunteers. All attendees should be encouraged to be vigilant for anyone on site without a pass. Some security is far better left to trained and paid security staff. Overnight security is definitely one of those.

Paid security staff are usually responsible for patrolling the site during the night. They will be dealing with people who arrive on site when the reg desk is closed, as well as addressing problems caused by local youths, or indeed by jugglers.

Paid security should conform to BS 7499:2007.

An example of the instructions given to security staff: BJC 2008 Security Procedure.

BJC 2010 hired a security company that specialised in festivals (rather than night clubs or building sites, for example). This meant that they were more familiar with the atmosphere expected at a BJC. They understood how to be understated and friendly, they were comfortable with "alternative" people, and familiar with the kind of teen drinking / drug taking problems that need to be resolved sensitively but firmly and quickly. BJC 2013 had a security firm which had a similar vibe, who got into the convention spirit, without becoming unprofessional. They even cleaned reg desk area each morning! When they were found to be a little lax, the situation was resolved very quickly, with a heartfelt apology to the orgs the next day, and 2 hourly checks by a supervisor the next night. These were not a local company to the convention (they all camped), and would be highly recommended to next years convention organisers, they would definitely be up for doing it again!

BJC 2013 were praised for their laid back but effective security that were supplied by First Security

Some security situations may require a team member to make a decision. If a paying customer (or trader) is found starting a fight, harassing people or endangering the convention with illegal behaviour, you have to decide whether to throw them off site.

You will need radios for your team. Your security firm may be able to lend/hire you these, and if not, they will probably know where you can hire some MUCH more cheaply than you can manage on your own. Jak Elyard bought 8 decent programmable radios in 2013 which he is willing to hire out to BJCs.

However many radios you need on site, you need twice that number of batteries (or twice that number of radios) so that you can charge one set while using the other.

A camp site has a few legal requirements:

* Risk assessments should be made on all activities

Here is an example of a risk assessment. Risk Assessment.

Writing a risk assessment involves identifying actions that you will take to remove or mitigate risks. Having written the risk assessment, you can't just "file and forget"; you have to have a way to make sure that those mitigating actions are put in place.

* You have an obligation to provide ambient lighting at night.

* You have to have access through the camp site wide enough for a fire engine to gain access.

* You have to provide "adequate" access to individual tents.

* There should also be a fire point available on the campsite with a fire safety sign, 2 fire extinguishers and a means of alerting people.

* You have an obligation to follow the law.

* If people at the convention are persistently causing dangerous problems then you may want to consider throwing people out.

* Other areas of site safety include;
Securing any gas bottles used for heaters, this can be done by a cheap padlock and chain.

Gas bottles should ALWAYS be stored in a well ventilated outdoor area and not in any walkway/access ways. Propane is also heavier than air so don't store above a tent if possible. Should gas leak it will fall to the floor and fill any area below it.

Propane bottles should always be used standing upright. They can be stored flat or safely rolled around, but in use they MUST be stood upright.

It is difficult to emphasise the importance of gas safety. People can die! If in doubt ask someone competent.

Ensuring that all access and egress is clear of obstacles and trip hazards and adequately lit.

Entrances to marquees should have fire extinguishers sited nearby and fire exits are clearly marked.

All non intrinsically safe electrical connections should be fixed above ground level. If there is any chance of water ingress to such a connection (for example, you are worried that water may drip into the marquee) you can also use a drip loop and/or bag up connections using plastic bags and electrical tape.

Minihttp://thebritishjugglingconvention.co.uk/wiki/index.php?title=Budget&diff=5626Budget2013-04-17T14:47:47Z
Mini: /* Ways to lose money */

Why a budget is vital
You need to have a detailed budget, to keep that budget up to date during the run-up, and to use the budget to guide your spending decisions.

This is a difficult job. The numbers are large and scary, there are unknowns, there are parts of the project you don't understand yet. You need to make one anyway. Getting your costs under control becomes much harder the later you leave it, and doing it during the event is nearly impossible.

Your BJC needs to avoid making a loss. You can't aim to make exactly zero money, because things not under your control will mess with the numbers in ways you don't expect. This means that you need to aim to make a small profit.

The only way to run an event to make a specific minimum amount of money is to plan for it. You need to
* identify your costs
* identify your likely income
* maintain a good sized gap between the two that allows for unfortunate events (such as low attendance or unexpected costs).
* work with your plan so that the costs are lower than your chosen break-even point
* regularly monitor your plan so that you will notice if the costs you're incurring become higher than you intended
* change your plan if this happens.

Losses aren't imaginary negative money. Losses are you personally calling your suppliers and telling them that you cannot pay them. Losses are your reputation on the line, as well as the reputation of the BJC itself. Also you don't want your security team to come knocking on your door asking to be paid!

If you are thinking, "I can't possibly make a budget, because I don't know any of these things": FIND HELP. People can help you with this. See Who can help?. Lots of people would much rather help you out at this stage, than see you making a loss later.

Writing a budget
How much might you take?
An easy way to make a BJC budget is to calculate how much money you would make, at 2/3 of a realistic estimate of your attendance. So that might be 650 for an average BJC. Don't include sales of clothing, food and bar takings, or any of that; just include the door takings. You want to be reasonably sure that you will not make a loss, even if attendance is down for reasons outside your control.

What will you need to spend money on?
Write down every single thing you will spend money on.

Now work out what you have missed from the list, and add that. First, look around the edge of people's areas of responsibility to find things you have missed.

For example: Do the buses to the show come under the show budget? How about the performer accommodation? Is the fencing in the "site" budget? How about sound and lighting services for the show? Will you need a plumber or a spark to connect up your services? Does your venue have enough tables and chairs for everywhere people will want to sit? How much AV equipment will you need? Do your passes need ribbon to put them on?

Now, take this list, find a recent BJC organiser, and see if they can spot more things you have missed.

How much will it cost?
You need to cost everything on your list, and then add ten percent for the unpredictable.

If you don't know the costs of something, you need to find out. If you can't find out yet, you need to use the best estimate you can, and make it a priority to improve the estimate as soon as possible.

Ways to cost things:

* Get quotes from companies. If you don't know enough to get a quote, then:
* Ask someone who's done it before; preferably someone who's done it before at a BJC.

Don't estimate on the "lucky" side of everything. If you're thinking "Maybe we could borrow some AV gear", start with an estimate for hiring it in. At an event the size of a BJC there is exactly zero chance that you will be lucky in every one of your budget items.

Every time you firm up a quote or learn more about what you'll need, go back and improve your budget.

Does the budget add up?
If the budget says you will be spending more than you will make, find something to cut and cut it. Ask previous BJC organisers; they can help you find things to get rid of.

Cutting the budget
Cutting things from the budget is hard, because of course you want your BJC to be fantastic. But remember, being able to pay all your suppliers is EVEN MORE IMPORTANT than everybody on site having a great time.

The easiest way to make cuts and still maintain your "artistic integrity" is to have a strong vision of what you want your BJC to be about. Can you explain it in 30 seconds?

The stronger your vision, the easier it is to say, does this thing here contribute to our vision? If not, cut it. If your BJC is the Happy Community Love BJC, then you can cut the paid entertainment and find a way to encourage people to make their own entertainment.

If you're still in trouble, you need to decide what's essential and what's nice to have. You need a site, you need security and toilets. You don't need to have shows and bought-in entertainment every night. You don't need to have beautiful passes. You don't need a professionally printed booklet.

Ways to lose money
If you try and budget up to your full expected attendance, you will lose money. If you do not have a budget at all, you will lose money. If you add on lots of small random "nice to have" items without keeping an eye on the budget, you will lose money. If your budget total is vastly more than last year, you are at serious risk of losing money.

This is not meant to be an exhaustive list of ways to lose money. There are plenty more!

What do we do if we are losing money?

This is a truly horrible situation to be in, avoid at all costs! On the Wednesday of BJC 2013, it looked like wethe event was going to lose a vast amount of money. the team panicked for a bit, each team member had a bit of a meltdown, then they gathered some previous BJC orgs together for a brainstorming session. This was incredibly helpful.

Suggestions that came up:

*Hard sell on Merchandise (cute kids and persuasive volunteers)

*Hard sell on DVDs (cute kids and persuasive volunteers)

*Sending volunteers out into the community with flyers to send members of the public to the BJC and to the show. 2 volunteers with amazing skills, one with amazing people skills.

*Planning a second one-dayer on the cheap to help cover bills (Chocfest 2.0)

*Negotiating with contractors for delayed payment and reduced payment.

*Negotiating with friendly caterers to see if they can give a bigger cut.

*Asking Traders to give super shiny prizes, instead of using these as games prizes, running a raffle.

*Publicising the raffle (cute kids and persuasive volunteers)

* An auction of some special prizes (signed props from the show, signed t-shirt etc)

* Putting a note in with performer's fees explaining the situation and explaining we would accept money back.

* Donation bucket on reg desk at the end.

* Telling the community the situation (in the open stage interval, as a lead up to the auction)

The BJC2013 team were truly amazed by people's generosity, in the raffle and the auction, and in their donation bucket at the end, and by performers willingness to donate. They had a really positive business meeting, where none of the team felt blamed, but felt able to acknowledge where mistakes were made. They also had donations from previous BJCs, and from other one-day conventions. The juggling community really helped them out.

Making savings
Negotiate every quote. Get your bulk supplies from a cash and carry, not from a supermarket. Put things like your big top under contract, and spell out precisely what you expect. Big top company are supplying sound and lighting for the top? Put it under contract. Big top can run on two 13amp sockets? Under contract.

Do not agree to pay up front. Deposit, yes; full payment, no.

Do not over buy clothing. Every item you fail to sell will impact your bottom line, and a couple of boxes of unsold hoodies will eat up every penny of clothing profit you make.

Do not extend cheap pre-reg for too long. Once you have enough money to cover your deposits, every discounted pre-reg sale is losing you money.

Do not have a free hand with complimentary tickets. Free tickets are not free. They are costing you the headline price of that ticket. Even for people who would not otherwise be coming, extra people cost you in terms of passes, toilet provision, venue capacity, and so on.

Help is at hand
Laying out a festival site so that it works well is complicated. Experienced site managers can do it on the fly as the trucks arrive, but if you haven't done it many times before you'll want to plan everything out beforehand.

You will need a site visit to help you make the plan, and ideally you want another site visit close to D-day to check that the venue have not changed anything without telling you.

If you're new to this, try and run your site plan past someone else who has done this a million times before. That's probably Mini Mansell

Safety
Anywhere that gas bottles will be stored needs to be away from ditches and low lying ground where gas could pool. This means your big tents (if using gas heaters) and your caterers. Flammable gas that leaks will sink, and if contained by the shape of the land, will cause an explosion hazard.

If anyone will be driving in stakes (to secure tents or festoon lighting), you need to check with your venue what services may be buried under the area. Often the venue will not know, in which case some common sense around the location of any street lamps and service blocks can help prevent an expensive accident.

Services
Your services determine your entire layout. The most important service is the drainage, because this is the only one that really cannot be moved or worked around. Major caterers, showers and toilets (except blue turdises) need drainage and must be located practically on top of it. Some smaller or fast food caterers may be able to work without drainage; ask them.

Besides that, you need water for toilets, showers and caterers, and power for big tops and bar marquees. You want to absolutely minimise the length of cable and piping runs, and you need to secure the generator/cables/piping/open manholes from the jugglers.

Thus, the tighter you can group the tents and caterers around the services, the less cabling and piping you will need and the more secure the service area will be. Using tents, vehicles and any available buildings to wall in the services is much preferable to using extra fencing. Heras is less secure and looks less professional. If you build everything right, you can often end up with a single service area fully enclosed by tents/vehicles/buildings/perimeter. This area can also be used by caterers for secure storage.

Ideally you will not have to run cables across unsecure areas, but if you do have to, you need to sink it in the ground (put a spade on the list) or if there is a tarmac path, run it overhead.

Remember that marquees and big tops still need fire exits and these cannot exit into your service area(s) or straight into a fence.

Big tents are usually fastened down by big tent pegs. If you are putting tents on tarmac you will need to make alternative arrangements (e.g. water bowsers or something else convenient and heavy).

You need to run festoon lighting into your campsite, and you want to minimise the amount of festoon you buy and the length of your cable run.

Access
All the suppliers need to be able to get the tents/toilets/etc on site and off again, and the less they have to drive on the grass the better. If it rains you don't want them to get stuck. Once these things are in and the vehicles have left, you may be able to restrict the access somewhat.

During the event, if you have a small generator it may need fuelling. Your toilets may need a pump-out. If you have bands in your marquee, or temporary visiting caterers, they will also need vehicle access. If your skip or bins overflows during the event, it will need emptying. You can open the fence for this but you don't want to have to move tents, vehicles, etc.

Any suppliers who are on site with vehicles will decide they also want vehicle access through your fence. If you back them onto the perimeter fence, be aware that they will own a spanner and they will open the fence (causing security problems) to drive in and out through it when you are not looking.

You also need access by fire vehicles to your campsite, including proper fire lanes between the tents.

The people supplying your tents need more space to rig the tents than the footprint of the tents themselves. If you're putting them in a tight space, measure it first and check with the suppliers that the space is enough.

Security
You need to be able to fence the site. If the site has existing fencing or buildings to one or more sides, you may be able to use this, but if you have a heras fence that meets a building and no way to fasten them together, you've got a security problem. Similarly, if your heras fence approaches a bush or a lower fence, this makes it easier for outsiders to approach unseen and to jump the fence. It can be better to leave a wide gap (ten metres) between an existing insecure fence or hedge and your own slightly more secure fencing.

The smaller the perimeter, the easier it is to secure.

Heras cannot be used if the land is not pretty much flat.

If you're in a rough area, having your security guys able to drive around the entire fenced section during the night will help them keep you secure.

You may like to walk the site when you're making your plan, imagining that you are a petty thief and working out how/where you would jump the fence.

Your caterers will want to secure the back of their setup, and marquees and tents may also have vehicles or gas bottles out the back that need securing. Use already available buildings, perimeter fencing or the other caterers/marquees/tents to box them in. The more heras you need to use, the less secure it will be and the less pleasant it will look.

Beware of public footpaths. You have a legal obligation to leave them accessible to the public, and they provide cover for thieves who can approach pretending they are just normal footpath users. If paths widely used by the general public come very close to your campsite access, you increase the risk of opportunistic sneak-ins.

Weather
If it rains during your event, things will get muddy. Mud will track in your hall and your toilets and showers and make everything filthy.

If you can bring pedestrian traffic along paved routes as much as possible, you'll cut down on mud. Similarly, clustering all your food/drink/entertainment in one place cuts down on the traffic. Consider positioning (for example) your bar tent next to your big top with a tunnel, so that traffic between the two stays out of the mud.

If you are able to leave enough width at the entrance area to allow two possible entrances next to each other, you can close one and open the other if the first entrance turns into a swamp.

Ambience
Ideally you want jugglers to be BLOWN AWAY when they enter site. You want the first thing they see when they walk onto the outdoor area to be your "food court" or "food road", or your big top entrance facing them in the distance. Not, if you can avoid it, a sea of other jugglers' tents, and not the toilet block with its associated pong.

Fast food sellers near the entrance to bar and big top will do well.

Toilets need to be fairly convenient for the bar and big top, otherwise people will piss on your tents. They also need to be far enough away that any smell does not reach the food consumption area. Ideally they should be out of the sightline of people eating food.

To generate the best ambience, you want to create one or two areas where people will naturally congregate, next to traffic paths that bring most of the jugglers past that area regularly. For example, make a wide "food road" around the entrance to the campsite, with space for people to sit outside the bar/caterers or hang about chatting, so everyone going to their tent has to come through. This will help create a good atmosphere, and will also increase the takings of your caterers, for which they will thank you. If the passers-by can see into the bar or food tent from the path, they are even more likely to go in.

Camping
Some events have productively divided their camping into "noisy" and "quiet", or the alternative suggestion of "early noise" and "late noise". While people like quiet camping, they don't like walking far to their tents, and they certainly don't like walking far from their tent to the toilets and showers in the dark.

Noise
The sound system in your bar and big top needs to be pointed away from any local housing as far as possible, and away from your campsite. Large sound systems are enormously louder from the front than they are from behind and canvas stops noise as well as toilet paper does. Sound carries a LONG WAY, so this doesn't only apply to the houses you can see over the fence. If locals are annoyed during the event they won't hesitate to come over in their PJs and give you a hard time.

If you are having loud events in your bar area, you ideally need an alternative quieter area where people who just want to chat can go and drink.

Queues
Big tops, bars and caterers generate queues. These queues need to have somewhere to go that does not cross other queues and does not go in front of other traffic routes like the marquee entrance.
Minihttp://thebritishjugglingconvention.co.uk/wiki/index.php?title=Andy_Wood&diff=5417Andy Wood2012-05-21T23:43:06Z
Mini: Created page with "http://www.coventgardenlife.com/info/street_entertainers/andy_wood/andy_wood_2.htm"

Notes and other details
The convention was also known as BJC2k (2k (or Y2k) was a popular abbreviation for the year 2000 with media speculation that all the computers would stop working at the start of the year 2000).

State Circus came along with their smaller big top (at the time it was their only one) which was used for Renegade shows, the Circomedia show and as a workshop and aerial space. Muffin Marquees (John Carter's company) also brought their big top as extra juggling/workshop space. The bar tent was from Jeff Dobson marquees. The music system in the bar was a free ghetto blaster, courtesy of Argos' no-quibble return policy, and a bike u-lock!

Fencing and portaloo rental (and servicing of the loos) was sourced from a local building hire company.

The university's site services department provided tonnes of woodchip to help deal with the consequences of the wet weather.

Montegriffo's Frying Circus and a local fast food van provided on-site catering. There was also food available in Vanburgh College dining room on the university campus.

There was a 7 mile unicycle ride from York to Riccall along a scale model of the solar system.
http://www.solar.york.ac.uk/Unicyclists/unicyclists.html

Ken & Tina, from Tumblecircus were going to perform in the Public show, but due to problems hanging the trapeze in Central Hall they performed in Saturday night's renegade instead.

People were also able to pre-reg by credit card thanks to Jak Hirst from Jesters.

Some start up money was raised by selling (non-voting) shares in the company running BJC with the promise of a dividend if BJC made a profit. After the event a dividend was paid and the shares were compulsorily repurchased by the company.

The organisers of BJC2k formed a limited company - York Events Management Ltd. (not to be confused with York Events Ltd. of Etty Avenue, York).

Volunteers were rewarded with Beer tokens they could exchange at the bar for drinks.

There was a ceilidh on Thursday night.

The above is the site plan according to the programme, but the marquees and big tops may not have been placed exactly to this plan.

BJC2k used some of its surplus to support projects like www.juggler.net and www.trickswithhats.org. It also joined Durham BJC in helping fund two of the acts for Derby BJC's Public Show. They have provided t-shirts for BYJOTY, funds for start up, offered money for "Box-O-Tools" and other stuff behind the scenes.

BJC 2012 Business Meeting Minutes 15/4/2012
The meeting was chaired by Lorri (minutes scribed by Miark) and held in the warmest part of the Bar Tent.

The meeting was postponed by 1 minute to allow for latecomers; the meeting then started at 12:31pm.

Start
Lorri asked whether the attendees had enjoyed this year's BJC and was answered with a unanimous yes and much clapping.

The meeting gave a big thank you to Amie for organising the BJC.

There was then a brief pause for late arriving meeting-attendees, who were given a brief résumé of what they had missed in the meeting so far.

Where to hold BJC 2013
Lorri asked if there were any volunteers to organise BJC 2013.

Sam Hardwick & Claire Stephens volunteered York to organise BJC 2013. Although they have no venue confirmed yet, they have made preliminary enquiries and have support from the juggling clubs in Leeds and Harrogate.

There were no other offers to run BJC 2013.

The proposal to hold BJC 2013 in York was met with cheers of approval and the York organisers were congratulated on a successful bid.

Feedback
Lorri asked if there was any feedback people wanted to give to help York organise next year’s BJC. A full list of the suggestions and offers of help will be given to the Yorkies but responses included:

* Good toilets and showers always make people happy + plenty of loo roll
* The Ladybird Project are fantastic – perhaps it would be possible to use their tent more and programme events there?
* Have a UV space again; Huddersfield offered to help with UV equipment
* A bigger workshop board would be good
* More Youth Circus; a chance for Youth Circus to meet up, showcase their skills, put on shows etc - Bryn has contacts
* A Lazy Juggler area like Nottingham had would be nice
* The Samba band in the parade was liked, if there is a parade next year – another samba band please!
* Please ensure communication is not limited to Facebook as some people don't use it – the BJC organisers reminded everyone that the BJC website normally contains all necessary info and said they wasted a lot of time having to answer e-mails when the information was already there
* Plenty of opportunities for volunteering would be good as people do want to help
* Have set times for people to volunteer so they can arrange their volunteering around the workshops they want to go to
* The workshop timetable cards at Nottingham were good, although printing costs is of course a factor
* You can never have enough communication or information available, e.g. a no beer in halls rule or notice of event times being changed etc
* Venue allowing, it would be good if the Balloon Jam could be situated in or closer to the main event as it creates a nice atmosphere and has better attendance
* It was asked whether it was popular having the Beer tent next to the camping – there weren't many people opposed to its location this year
* It was suggested that the BJC could be combined with the clown convention – this suggestion was not met with wholehearted approval
* It was suggested BUC could be integrated into BJC as there hadn't been a BUC for two years – it was pointed out that combining the two hadn't worked very well in the past but it is something to consider
* The real bar with real ale was good and the bar was thanked; Matt & Louise from the Bar said it had been a pleasure. The bar run by Lazy Jugglers at Nottingham was also praised. Both would be good options for 2013
Renegade was discussed and it was suggested that the stage-manager and compère be pre-arranged
* The awards in the Public Show was a nice touch, perhaps a Hall of Fame for jugglers in future?
* The meeting was reminded that if there’s something individuals really want to happen at the BJC then they can and should volunteer to organise it ;)
* Fak offered to coordinate Passing Workshops again for BJC 2013
* Huddersfield offered their support to the York BJC organisers
* Traders are happy to give prizes for juggling games if BJC 2013 want them to
* Security can be a bit hit and miss, perhaps one of the previous companies (that were particularly good) may be interested in doing it again?
* The parade marshals were thanked for their help and it was suggested that more assistance would be needed for people getting off the buses if there is a walk from the drop off point to the start of the parade (if there is a parade) in 2013
* Directions from train station to the convention site would be good, although this year (as is often the case) it wasn’t allowed
* More choice of catering would be good but it was pointed out that the event isn’t large enough to support more than one caterer so (as this year) it would be good if there is lots of alternative eateries nearby
* Book the Love Waffles people again. Mmm…
* There was no fire show or fire space and this was missed – the person organising fire stuff in 2012 dropped out plus there were insurance problems. Suggested solutions included asking Equity about fire insurance and Andy from Huddersfield saying that Dark Spark have Fire Insurance and may be able to help with fire at BJC 2013

BJC 2014
Nigel Roder put in an expression of interest on behalf of Milton Keynes. They have had venue issues with the venue they use for their one-day convention not wanting to allow 24 hour access but this may no longer be an issue. He will know more after talking to the governors in May and will keep people informed.

There were no other expressions of interest for BJC 2014 but all were encouraged to consider running a BJC in future.

Conclusion to BJC 2012
A round up of this year’s BJC included:
* Confirmation that it had broken even
* There were 1050 attendees (inc workers) at BJC 2012
* The drawing of the raffle
* The presentation of a special silver t-shirt to Russell for being one of only three people to attend all 25 BJCs so far (the other two will be presented at a later date as they weren’t present)

Thanks
* The York team were thanked for volunteering to run BJC 2013.
* Amie and her team were thanked for organising BJC 2012.
* The attendees were thanked for caring about the BJC and coming to the meeting.
* Lorri was thanked for being the BJC_2012 tweeter.
* The people who did the BJC website and BJC Facebook page were also thanked.

The business meeting was then concluded after 31 minutes.

See you all in Yorkshire for BJC 2013.
Minihttp://thebritishjugglingconvention.co.uk/wiki/index.php?title=BJC_2012_Business_Meeting_report&diff=5101BJC 2012 Business Meeting report2012-04-19T11:41:02Z
Mini: /* Where to hold BJC 2013 */

Report on Business Meeting
BJC 14, Cardiff
12:15 22/04/01

Brief report for those who couldn't make the meeting at BJX 14##

Chair: Rob Stone
Sec: Lorri Reese (and helen!)

Introduction:

Rob introduced himself and Lorri and asked to make the meeting short so
as not to bore people to death - keep meetings short we may increase the
attendance. Also asked that we focus on events that can be usefully
taken forward to future years and not concentrate on things dictated to
by the venue

Orgs
opened with a warm heart felt round of applause for the organising team,
not all of whom could attend.

Mark Robson round up and answered a few queries ...
* approx 700 people turned up and paid,
* they broke even (cue applause).
* biggest problem was the showers and toilets breaking down
* venue problems were due to the fact that the orgs spent 3 months
working with their 1st venue only and had to drop it cos of unrealistic
price. The 2nd venue then fell through and the 3rd venue
was the last resort. With a choice of a-not-ideal-but-useable venue or
no BJC at all, the orgs (after soliciting opinions) decided to go ahead.

Feedback

The meeting was thrown open to floor for feedback including ....

* The parade was great, right in the centre of town with loads of people
watching. Nice to keep it short with maximum disruption!

* Games highly rated by many people, excellent venue and weather !

* Suggestion to have the parade and games on different days to avoid
losing a whole day. Problems with that are:
a) cost of buses to/from town
b) games in town benefits the city and entertains the public, means
city support
c) Different days would solve the problem of a trade off between
bringing kit to the games and costumes for the parade. General consensus
with that was it's a choice you have to make! Can't leave stuff on buses
as they do shuttle runs and security issues.

* Venue - large gym v small gyms. Differing opinions here, positive and
negative, ultimately it's up to the orgs and there's not a huge choice
in venues when it's at such a late stage

* Clearly signed running water on site (s'one asked for running water,
not realising there was some no the hard court). Mark said there was
plans to pipe it further on to camp but it fell through at the last
moment.

* Suggestion for a 5 day convention but there's the cost factor. If the
orgs can find a venue for 5 days at a 4 day cost then go for it

* Dave Marchant asked if it would be helpful to arrive a day early and
help set up. Ali answered by saying it wasn't needed in their case

* Volunteers this year were good. Plenty of pre-organised volunteers
which helped, and Cardiff is a community based circus which meant plenty
of volunteers

* more bins on site are recommended - this is a perennial problem.

* road signs were a bit lacking but website directions were good.

* previous years the separate chill-out tent where you could bring own
beer and music wasn't so loud was missed. Cost/space factor comes in,
but it was felt a 24hr chill out space was a big thumbs up
and perhaps could double up with workshop space ?

* Massive thumbs up to the community workshops. Mark (chester) expanded on this:
a) Thur & Fri were targeting What's in it for Cardiff, so play schemes
used it and plenty of beginners workshops were held
b) Lottery fast track grant enabled them to charge £1 for the community
workshops, Ali knew about these sources of funding.
c) They were very important for Cardiff as they're community based

* Public couldn't get access to the Traders as they didn't have passes.
Suggestion to have separate tokens to give them access, traders want
access to public as well as attendees.

* Suggestion to have the Convention timetable on the web. The majority
of it was, except the workshop timetable. Website was praised and
considered v. useful.

* Programme with some workshops pre-printed was appreciated.

* request for a programme for the show would have been nice, but very
often (last 3 yrs definitely) the running order isn't decided until the
morning of the show

* Another big thumbs up to the distance between camping and noisy music

* Usual problem of noise vs sleep in campsite - hard to cure.

Concluded this section with more big applause for all the orgs (despite
their protests)

* NEXT YEAR 2002 *

Stumpy tentatively raises his hand and promotes Whitstable in Kent,
crowd appreciates the offer.

This is what has happened so far:
a) It's again a community based event - with Kent Community Circus (?)
involved.

b) Local councilors are very happy about it

c) Venue is sorted & provisionally held, 1 large hall (6 badminton
courts), a small hall & gym. Renegade & camping to be on site. Marlow
Theatre Cant. (1000 seat) for the show. Caravan park is less than 10min
walk away. Stumpy has spoken to them and they're currently interested

d) Team will be Stumpy (who's been to all BJCs since '95 but is still
young and enthusiastic!), Tina (who's an Arts Development Officer &
trapeze artist) and a whole host of volunteers from the community
workshops (~30)

e) Convention would probably be over the Bank Holiday, during half term.
This raised the problem of losing people but it was felt it would also
gain some people. Bristol had it over a Bank Holiday and said there
could be a problem with extended licences, although this could be the
way to get a 5th day

* Vote was quickly carried out and Kent was voted for 15th BJC in 2002
* Cue big applause for Stumpy

****************
* 2003 and beyond *

Speculative offers from teams from

a) Brighton
b) Tunbridge Wells
c) Chester - interested in the future

all of these were in the rudimentary stage and not to be considered
final, they need to scout venues, organising teams, local support etc.

* Advice was to book early. Plan early & book early makes it much easier

* Rob wittered on about not relying on these bids and encouraging others
to consider offering.

========================================================================
Organisers support
========================================================================
People asked about advice and help form previous teams. This prompted
much discussion and some offers of help and offers of producing an "how
to" pack.

specifically

* Nicole mentioned she had a list of things that need organising for
BJCs and Mark had a gant chart, Winston remindeed us of a folder with each
persons job in which can be passed on, and it's currently in Rob's living
room (oops!)

* Suggestion to put it on a website (Steve Carter volunteered to put info
on-line), but future discussion was recommended to go to a private
meeting later on

* Suggestion for stats from previous years to be collected (& possibly
added on line) for future orgs use

* Mini & Nicole volunteered to do pre-reg indefinitely (ha ha!)

-- We have now set up a mail list for convention organisers to ask
questions get advice etc see http://groups.yahoo.com/group/jugconorg
open to all organisers.

========================================================================
AOB
========================================================================
* Traders gave over £1000 of kit to the Russian kids - cue massive
applause for the traders

* Charlie from Camb. spoke about the National Association for Circus:
a) Website with all details for traders, performers and hobbyists going
to be/already(?) set up
b) Leaflets were handed out
c) Plans to make a magazine/leaflet for info
d) Next year will do research on funding for Arts Council

========================================================================
Conclusions
========================================================================

* Massive applause to all, & the short (35min) business meeting

## once again we have maximum 100 people at the meeting, MANY of whom
are organisers and helpers from this and previous BJCs (many Yorkies,
Durham and Cardiff people as well as familiar people who help out).
How do we ever get to know what everyone really feels ?
Report on Business Meeting
BJC 14, Cardiff
12:15 22/04/01

Brief report for those who couldn't make the meeting at BJX 14##

Chair: Rob Stone
Sec: Lorri Reese (and helen!)

========================================================================
Introduction:
========================================================================

========================================================================
Feedback
========================================================================

Future years
****************
* NEXT YEAR 2002 *
****************

* 2003 and beyond *
****************

Speculative offers from teams from

a) Brighton
b) Tunbridge Wells
c) Chester - interested in the future

all of these were in the rudimentary stage and not to be considered
final, they need to scout venues, organising teams, local support etc.

* Advice was to book early. Plan early & book early makes it much easier

* Rob wittered on about not relying on these bids and encouraging others
to consider offering.

========================================================================
Organisers support
========================================================================

========================================================================
AOB
========================================================================

========================================================================
Conclusions
========================================================================

A business meeting is traditionally held on the last day of a British Juggling Convention. Everyone at BJC is welcome to attend this meeting.

The main functions of the business meeting are to discuss how the BJC is run, evaluate the current BJC and decide who will host next years BJC (or the year after).

How the BJC is run
Within the BJC attendees there can be more than one idea on how the BJC should be run, this is an opportunity for people to air their views. For example, The BJC 2010 meeting had some discussion of whether forming a committee would help with the organisation of BJCs.

Evaluate the current BJC
This is a chance for the convention-goers to thank the organisers, perhaps give some constructive criticism to help future BJC organisers and there may be some complaints.

Feedback can also take place, hopefully in a constructive manner.

The organisers can tell the meeting if the event made a profit/loss, estimates of numbers, and any other information they have and wish to impart.

Who will host next years BJC
If there is more than one offer to host the next BJC, a vote can be held to decide which offer to accept, everyone at the meeting is entitled to vote.
2. General feeling re BJC 2000 York

The general vibes were that the convention had been a great success.
THERE WERE REALLY NO COMPLAINTS!
The show and the organisation were given special praise.
Special touches were highlighted: Flyer for parade, signage, passes,
aspects of the show, welcoming booklet etc..

The organisers suffered from a dearth of ordinary volunteers during the
convention.
Many problems could have been avoided and the convention could have run
more smoothly had more jugglers volunteered to help. They felt that just
a little time from more people would have been an enormous help.

3. Next Year BJC 2001

Belfast and Chester who had both offered to host BJC 2001 last year were
keeping a low profile.

Cardiff offered to host BJC 2001. This however is dependent upon their
securing the proposed site.
This means that Cardiff is not 100% definite.

This raises the possibility that if Cardiff withdraws there will be no
BJC 2001. Others seriously wishing to host this event should consider
this and remain in contact.
The BJC 2K web site will continue in operation meantime to act as an
information and contact point.

4. Future Years

There are various tentative plans for BJC 2002.
The meeting encouraged all those considering hosting to prepare their
bids and present them next year.

5. Thanks

There appeared to be a general feeling that BJC2K was perhaps one of the
best conventions of all time. There was a great appreciation of the
organising team.
Specific thanks were given to the following:

Rob Stone = Da Boss
Lorri Reese = No. 2

Sam Vines = Registration
Information = Jenny Main
Music etc. = Steve Carter
Pre Reg = Mini & Nicole
Site = Mike Armstrong

Rob Stone then introduced the organising team which included I believe:

Rob = show, Uni liaison, circus science, fight prevention
and
bossy bastard
Lorri = finances, legal company stuff, and everything else!

Everyone else : in no real order....

Mike A = site management - fences, tents, wood chip panic, NFS
generators etc.
Mini + Nicole = Prereg and general hard working from Mini during the
set up
Sam Vines = registration supremo
Jenny Main = information desk and registration with Sam
Steve Carter = parade supervision, games, clock, Spanish peeps,
musics, signs ....
Pete Bradshaw = Clock + show teching and fence monkey
Matt Shacklady = merchandising, graphics, flyers, signs bits of paper
show tech, powerpoint touches in the show !
Kev UU = accommodation + show tech
Eclair = Accommodation with Kev and general worrying for all of
us
Martin Burton = traders
Ewan Crichton = workshops and a great job he did
little Dave = Gateau's minder.
Paul + Claire Gibbs = press n pub. Unicycle the solar system
Collin D = Raffle, passes, bits n bobs
Micheal W = flyers and general slave
Garry B = general, help and computing
Lizzie = registration and giving us her house.
Jim and Anna = fire show

Lee + Ian = selfless devotion to registration for hours & tills!
Stacy + Kerry = more registration slaves
Alan Mackenzie = Ditto
James Soper = T-shirts n stuff
Johnny Hopper and Andy = renegade organisation
renegade comperes = all of them
UoY SU + AV people = for teching the show.
Colin E. = for help with circus science.

All the people who did a bit of registration desk and helped clear up!!!

They were applauded for 2 years of preparation and a week of no sleep.
(and it showed). A hard act to follow.

The loudest cheer was given to Rob Stone who was felt by the meeting to
have been a father figure for the convention, a mentor, and a source of
inspiration to us all.

6. The Meeting was then followed by a raffle of second hand equipment.

I hope this is a fair representation of the views of
the York BJC 2K Business Meeting.
